10. Sharing & Permissions

X-Sheets uses a role-based permission system to control who can view and modify your spreadsheets.

10.1 Permission Levels

“Manage Structure” includes: managing columns, sheets, views, versions, and spreadsheet properties.

10.2 Sharing a Spreadsheet

Admin or Owner role required.

  1. Open the spreadsheet context menu and tap Share Spreadsheet.
  2. The Permission Page shows all current permissions as cards, each displaying:
    • User avatar (first letter of email)
    • Email address
    • Permission level

Adding a Permission

  1. Enter the user’s email address in the text field.
  2. Select a permission level from the dropdown: Viewer, Editor, or Admin.
  3. Tap Add.

Revoking a Permission

  1. Find the user in the permissions list.
  2. Tap the red delete icon next to their entry.
  3. Confirm in the dialog by tapping Revoke.

10.3 Public Access

Admin only.

Toggle Public Access on the Permission Page to make the spreadsheet accessible to anyone, even without an account. When enabled, a description explains what public access means.

Warning: Public access means anyone with the link can view the spreadsheet. Use with caution for sensitive data.

10.4 Copying Permissions

When copying a spreadsheet (via Make a Copy), Admins can check the “Copy Sharing Options” checkbox to duplicate all permissions to the new spreadsheet. Without this option, the copy is private to the creator.
